The title shall be “The New Zealand Sanders Cup Association”
To promote and continue annual competition for the Sanders Cup on an inter-provincial basis.
Membership shall be open to any persons interested in the objects of the Association. Members shall be classified as to:
a. Annual Member at a fee set by the General Meeting.
b. A Fully Paid Member at a fee set by the General Meeting revised every five (5) years.
The Chairman and Secretary of the Association shall be appointed each year by the Squadron, Club, or Province awarded the contest. They will manage the Associations affairs until succeeded. The outgoing Chairman and Secretary shall ensure the continuity of office.
Four Members shall be required to form a quorum at any meeting of the Executive of the Association.
6. Duties of officers
a. Chairman. The Chairman shall take the chair at all meetings of the Association of the Executive Committee and shall perform such other duties as appertain to his office.
b. Vice Chairman. The Vice Chairman shall assist the Chairman at all times in the interest of the Association and shall officiate in his absence. If both the Chairman, and Vice Chairman should be absent the meeting shall elect a chairman.
c. Secretary. The Secretary shall keep a true and complete record of the proceedings of all meetings of the Association in a minute book provided for the purpose, and shall produce the minute book at every meeting. He shall keep a correct roll of all members of the Association, and notify the Treasurer of the election of all new members, conduct all correspondence and notify each new member of his election. Not less than fourteen (14) days prior to the date of the Annual General Meeting he shall notify members of the date, time, and place where such meeting will take place.
d. Treasurer. The Treasurer shall receive all monies due to the Association and in conjunction with the Secretary, collect all dues. He shall, when required by the Executive, present an interim Balance Sheet, and shall produce statements of the Associations finances at every meeting. At the close of the financial year he shall prepare copies of the accounts and Balance Sheet, which shall be available to any member on application.
7. Annual General Meeting
The AGM shall be held each year during the Sanders Cup Contest at a time and place to be fixed by the Chairman.
8. The financial year
The financial year of the Association commences on January 1st each year and all subscriptions are due on that date.
9. Change of rules
The rules of the New Zealand Sanders Cup Association shall only be altered by the New Zealand Sanders Cup Association at it’s AGM.
Amendments to these rules are to be subjected to a notice of motion proposing such amendments. Such notice given in writing by the New Zealand Sanders Cup Association to all member associations and clubs of the New Zealand Yachting Federation at least 30 clear days prior to the AGM of The New Zealand Sanders Cup Association.
Any member wishing to propose any amendment shall notify The New Zealand Sanders Cup Association at least forty (40) days prior to the AGM to allow the abovementioned notice of the motion to be issued.
